Getting started

How long does it take to get started?

A few hours, not months. You add your school's name and logo, set your lesson length and booking rules, and invite trainers and students by email. Most schools take their first booking the same day, and we'll walk you through the setup.

Can we try it before we decide?

Yes. We'll set up a free trial school with your own name and logo, so you can try it on real cases before you decide. Book a demo and we'll have it ready for you.

We already have students in another system or a spreadsheet. Can we move them over?

Yes. Schedify imports your existing students and the lessons they have left, and every balance comes across with them. We'll do it with you when you start.

Do we need to install anything?

No. Schedify runs in the browser on any computer, tablet or phone. Anyone who wants to can add it to their home screen, where it opens like an app. There's nothing to download and nothing to update.

We already have a website. Do we have to replace it?

No. Your website stays as it is. Schedify becomes your school's booking page at its own web address, and you link to it from your site, your emails or your social media.

Everyday use

Do our students need to download an app?

No. They open your school's booking page in the browser and sign in. It works on any phone. They can add it to the home screen, where it opens like an app with your school's icon.

What happens when a student cancels late?

You set the rule, and Schedify applies it the same way every time. Cancel in time and the lesson goes straight back on the student's balance. Cancel too late and the lesson is used. You decide where that line sits.

Can the office or a trainer book for a student?

Yes. You can book, move or cancel for any student, for example when they ring in. The booking uses their lessons just as if they'd done it themselves, and every booking shows who made it.

How do reminders work?

Every student gets an email reminder before their lesson, and you choose how far ahead it goes out. Bookings can also drop straight into their own Google, Apple or Outlook calendar.

Can trainers manage their own schedules?

Yes. Each trainer sets their own hours, books time off, sees their own students, and marks each lesson as completed, missed or cancelled. If you'd rather keep control, the office can plan and publish a trainer's week instead.

Several people work in our office. Can we see who did what?

Yes. Every change that matters is saved with who did it and when, in plain language: a cancelled booking, an adjusted balance, a recorded payment.

Pricing and payments

What does Schedify cost?

One price per trainer per month, and that's the whole system. There's no setup fee, no long contract and no limit on the number of students. You'll find today's prices in the Pricing section above.

Are we locked into a contract?

No. Schedify runs month to month. You can cancel whenever you want from your admin page, and you can export your data before you go.

How do students pay us?

The way they already do: cash, card, Swish or invoice at the desk. You record the payment in Schedify, the student's balance updates, and the sale becomes a correct invoice with the right VAT. You keep the card terminal and the Swish number you've already got.

Does it replace our accounting program?

No, it works alongside it. Schedify writes the invoices and keeps track of sales, VAT and payments. At the end of the period you send the figures to Fortnox or Visma with one click, plus a clear summary for your accountant.

What about quiet months, like the summer or the holidays?

You only pay for trainers who can be booked. Set a trainer to inactive and students can't see or book them, and from the next month they don't count towards your plan. Schedify runs month to month, so you can drop to a smaller plan for a quiet spell and go back up when business picks up. On the annual plan two months are already free, which usually covers the low season.

Do the invoices follow Swedish rules?

Yes. Every sale becomes a full invoice with your school's details, the right VAT on each item and a number in sequence. Payment reminders stay inside the legal fee limit, and corrections are made with proper credit notes.

Your data

Is it GDPR-compliant? Where is our data stored?

Yes. Your data is stored on Amazon's servers in Sweden and handled the way EU privacy rules (GDPR) require. Students read and accept your terms in the product, every consent is recorded, and your data is never shared with other schools.

Who owns our data, and what happens if we leave?

Your school owns its data: students, bookings and history. You can export it whenever you want, and if you cancel you take it with you.

Support and fit

What support do we get?

There's a getting-started checklist and a full user guide inside the product. In your first weeks we'll work with you to get everything in place, and after that you get personal support whenever you need it.

We're a driving school. Does Schedify understand our needs?

Yes. We built Schedify together with driving schools. The progress card follows the official Swedish curriculum, and lesson notes can be shared with students. Schedify also keeps track of your cars: manual or automatic, which trainer drives which, and whether a car is free before a booking is confirmed.

What if we only want booking, not invoicing and all the rest?

Then start with booking. You switch the rest on when you're ready: the weekly planner, payments and invoicing, the progress card. Nothing has to be set up before you want it.
